Stop Answering “Where’s My Order?” By Hand
It's the email you get most, and your store can answer most of them before they're sent. The rest get a saved reply in your voice.
"Hi, just checking where my order is?" Again. And again. Usually from lovely people who are just excited.
Most of those emails happen because the customer heard nothing between "thanks for your order" and the parcel turning up. Fill that silence and most of them stop.
The shape of it
Your store already sends a shipping email with tracking. Most platforms can also send "on its way", "out for delivery" and "delivered" updates — they're just switched off. Turn them on, make the shipping email say when to expect it and what to do if it's late, and a lot of "where's my order?" emails never get written.
For the ones that still come in, save a handful of replies in your email so answering takes ten seconds, not ten minutes.

I run a small online shop: [yourstore.com]
I answer customer emails in: [Gmail / Outlook / other]
Keep it plain — no jargon, and if a techy word is unavoidable, explain it.
1. Open my website and read my shipping and returns pages. Work out what my store runs on and tell me what you found.
2. Using that platform's current help pages, walk me through one step at a time:
- switching on the shipping update emails it offers, like "on its way", "out for delivery" and "delivered"
- rewording my shipping email so it says how long delivery usually takes and what to do if it's late, using my shipping page
Wait for me to say "done" before the next step.
3. Write 5 short saved replies in my voice for the emails I'll still get: where's my order, can I change my address, how do I return something, wrong size, and it arrived damaged. Only use what my policies say — leave a [BRACKET] if something's missing.
4. Show me how to save them as ready-made replies in my email.
Never ask for my passwords. If my screen doesn't match what you said, ask what I see — don't guess.

Where it goes sideways
Typing in tracking numbers with no link. If your courier isn't one your store recognises, the customer gets a string of numbers they can't click — and emails you anyway. Check your courier's on the list, or paste in the full tracking link.
Rather those emails just got answered — the easy ones sent in your voice, the tricky ones drafted for you to check? That's AI-ORG Triage.
